Customer Reorder Tracker: Find the Customers Who Did Not Come Back


Every seasonal and repeat-purchase business has the same blind spot. A customer buys twelve yards of mulch in the spring, and the next spring rolls around… and nothing. No complaint, no cancellation, they just did not reorder. Maybe they forgot, or perhaps a competitor knocked on their door first. Either way, that revenue walks out the door silently and forgotten, and most systems never address this.


The Customer Reorder Tracker closes that gap. You pick an item, set a current period and a prior period to compare it against, with one-click presets like "This Year," "Same Period Last Year," and "Previous Period", and generate the report. The summary line alone tells a story worth acting on. In the above example, a report on a single mulch SKU showed that only 3 of 10 prior-window buyers had reordered — 97 units ($4,850) sold in the prior period versus just 40 units ($2,000) so far in the current one. That is not an abstract trend line, is it a named list of seven customers who spent money with you last year and have not yet this year.


Each customer row shows their contact info, prior quantity and amount, prior order date, current activity, and a clear Reordered / Not Reordered status badge. Right in the row are Email and SMS action buttons, so the person running the report can go straight from "Creekside Playground bought 11 units last June and hasn't reordered" to a personal message - no exporting to a spreadsheet, no copying addresses into another tool. If a customer has no phone or email on file, the report tells you that too, so you know which channel to use.


A Reorder Status filter lets you cut straight to the "Not Reordered" list, which is really the whole point: a ready-made call sheet of your most winnable revenue.

The Landscape Estimator: Draw the Job, Price It on the Spot


The second addition targets the other end of the revenue cycle - winning new work in the first place. For landscaping, mulch, fencing contractors, building contractors and similar field service trades, the slowest part of selling is often the math. The obvious questions of, “How big is the area?”, “How much material does it take?”, and “What does that price out to?” Traditionally that means a site visit and a promise to "get you a quote by Friday", by which time the customer may have three other bids.

Then comes the part that turns a sketch into a sale. You assign default materials from your own AlpacaBOSS catalog, a fence material priced per foot, a landscape material like bulk mulch, a plant selection, and the estimator does the conversion math automatically.


As seen in the image above, the 373 sq ft bed in brown becomes 3.80 cubic yards of mulch, priced from your item list. The 161 feet of drawn fence line becomes a per-foot fence cost. The sidebar keeps a running total - beds, fencing, gates, plants - and rolls it all up into a single project cost, over $4,000 in the example above, before the crew has left the driveway.


Because the estimator lives inside AlpacaBOSS rather than a separate estimating app, the numbers flow straight into the platform's existing quote workflow: quotes can be saved and emailed for customer approval, with configurable deposit requirements - for example, 50% on standard quotes or 100% on special orders.
